The International Student Application Guide: Bands, Transcripts and Deadlines

Applying to universities abroad means translating your academic life into the host country's language: English scores, converted grades, and deadlines in unfamiliar time zones. This guide covers the three conversions every international applicant faces.

1. The language score: IELTS

IELTS reports four section bands (Listening, Reading, Writing, Speaking) plus an overall band. The overall is the mean of the four, rounded to the nearest half band — 6.25 rounds up to 6.5, 6.75 up to 7.0. Universities commonly require 6.0–7.0 overall with minimum section scores (often 6.0–6.5).

2. The transcript: GPA conversion

Your 78% or 8.2/10 means different things in a 4.0 system. Universities and credential evaluators use published conversion tables — some apply WES-style mapping, others their own. Rules of thumb: a 10-point CGPA converts to 4.0 by multiplying by 0.4 (8.0 → 3.2), and percentage-to-4.0 varies by scale (a 100-point scale divides by 25; a 20-point scale divides by 5). Always check the receiving university's official guidance.

3. The deadline maze

Application windows differ by country, university and intake: US rolling and regular decisions, UK UCAS cycles, European and Australian intakes in multiple rounds. Add time-zone math and document lead times (transcripts, recommendations, English tests), and the real deadline is weeks before the published one.

• Transcripts (official, sealed, translated where needed)
• English test results (IELTS/TOEFL) within validity period
• Passport copy and photo
• Statement of purpose / motivation letter
• Recommendation letters (ask 4–6 weeks early)
• Financial documentation for the visa stage

Common application mistakes

• Booking the English test too late — results take 3–13 days and retakes cost weeks.
• Submitting a 10-point GPA without conversion guidance — attach the university's own conversion table when available.
• Treating the published deadline as the real one — documents, time zones and bank processing add days.
